1. Agreement to These Terms

These Terms of Service govern your use of R.O.S. Repair Order Scanner, operated by RO Software LLC. By creating an account, accessing the application, or using R.O.S., you agree to these terms and our Privacy Policy.

If you do not agree to these terms, do not use R.O.S.

2. Eligibility and Accounts

You must provide accurate account information and keep your login credentials secure. You are responsible for activity occurring through your account.

Notify us promptly if you believe your account has been accessed without authorization.

3. Intended Use

R.O.S. is intended to help automotive professionals scan repair orders, record jobs, track flagged hours, organize work history, compare user-uploaded CDK or Dealertrack report images with tracked RO hours, and estimate work statistics.

R.O.S. is an organizational tool and does not replace dealership records, manufacturer information, payroll records, repair manuals, diagnostic procedures, or professional judgment.

Cross Reference processes pictures of reports you upload; it does not connect directly to CDK or Dealertrack.

Cross Reference is informational and is not a payroll or accounting system. Its results may be incomplete or incorrect and do not guarantee that you will be paid. A tracked RO missing from the selected report may appear on a later report after dealership processing is complete.

4. Authorized Documents Only

You may only upload, scan, enter, or store repair orders and other information that you are legally authorized to access and use.

You are responsible for complying with your employer's policies and all applicable privacy, confidentiality, employment, and data-protection requirements.

5. Customer and Sensitive Information

Do not intentionally upload unnecessary customer names, addresses, phone numbers, email addresses, payment information, signatures, login credentials, or other sensitive personal information.

You are responsible for reviewing documents and removing unnecessary information before submitting them to the scanner.

6. Artificial Intelligence Results

R.O.S. uses automated and artificial-intelligence technology to extract information from repair-order images.

Extracted information may be incomplete, inaccurate, or misinterpreted. You must review and correct all extracted information before relying on or saving it.

Cross Reference uses automated extraction only to read RO numbers and relevant reported hours. Its deterministic comparison may identify differences or items needing review, but it does not determine whether you were paid correctly and does not automatically create, edit, or delete saved jobs.

7. Estimates and Calculations

Hours, efficiency, goals, projected gross pay, and other calculations displayed by R.O.S. are estimates based on information entered by the user.

RO Software LLC does not guarantee that these calculations will match payroll, tax, dealership, warranty, manufacturer, or employment records.

Cross Reference results are informational and depend on image quality, report completeness, selected report type, and the accuracy of saved job data. Verify results against the official DMS and payroll records before relying on them.

8. Your Content

You retain responsibility for information you enter, upload, scan, or save through R.O.S.

You grant RO Software LLC and its service providers permission to process that information only as reasonably necessary to operate, secure, maintain, improve, and support R.O.S.

9. Acceptable Use

You may not misuse R.O.S., attempt unauthorized access, interfere with its operation, upload unlawful material, violate another person's rights, distribute malicious code, or use the service for fraud, surveillance, harassment, or other illegal activity.

You may not attempt to bypass usage limits, security protections, authentication controls, or payment requirements.

10. App Availability

We may update, modify, suspend, restrict, or discontinue features as the application develops.

We do not guarantee that R.O.S. will always be available, uninterrupted, secure, or free from errors.

11. Third-Party Services

R.O.S. relies on third-party providers, including Supabase, OpenAI, Vercel, RevenueCat, and Apple.

Your use of those services may also be subject to their separate terms and privacy policies.

12. Account Suspension or Termination

We may restrict or terminate access when reasonably necessary to protect the service, comply with law, investigate misuse, prevent harm, or enforce these terms.

You may stop using R.O.S. or permanently delete your account through Account Settings.

13. Account Deletion

Account deletion permanently removes your account and associated saved jobs from the active service. Account deletion cannot be undone.

Some limited information may remain temporarily when required for security, fraud prevention, legal compliance, dispute resolution, or backup processing.

14. Ownership

R.O.S., including its software, design, branding, features, and original content, is owned by RO Software LLC or its licensors.

These terms do not transfer ownership of the application or its intellectual property to you.

The CDK, Dealertrack, and Cox Automotive names and trademarks belong to their respective owners. R.O.S. and RO Software LLC are not affiliated with or endorsed by CDK, Dealertrack, or Cox Automotive.

15. Limited License

RO Software LLC grants you a limited, non-exclusive, non-transferable, revocable license to use R.O.S. for its intended purpose in accordance with these terms and applicable app-store usage rules.

16. Disclaimer of Warranties

To the fullest extent permitted by law, R.O.S. is provided “as is” and “as available,” without warranties of any kind.

RO Software LLC does not warrant that scan results, calculations, stored information, or app operation will be accurate, complete, uninterrupted, secure, or error-free.

17. Limitation of Liability

To the fullest extent permitted by law, RO Software LLC will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages.

This includes lost wages, profits, business, records, data, opportunities, or other losses arising from your use of or inability to use R.O.S.

18. Your Responsibility

You are responsible for reviewing scan results, maintaining official records where required, protecting customer information, complying with workplace rules, and confirming payroll, repair, warranty, diagnostic, and safety information through appropriate official sources.

19. Subscriptions and Billing

Access to Scan RO and Cross Reference on iOS requires an active Scanner Access subscription. The subscription is offered as one package covering both scanner features.

Eligible new subscribers may receive a one-week free trial. At the end of the trial, the subscription automatically renews at the price shown on the Apple purchase screen unless it is canceled before renewal. The current United States price is $4.99 per month. Apple may show a localized price in other countries or regions, and the price shown by Apple when you subscribe controls.

Apple handles payment, renewal, cancellation, and applicable refund requests. You can manage or cancel the subscription in your Apple Account subscription settings. You can also use Restore Purchases in the subscription screen to check for an existing eligible purchase.

Free-trial eligibility is determined by Apple. Deleting your R.O.S. account does not cancel an Apple subscription, and canceling a subscription does not delete your R.O.S. account.

20. Apple App Store Terms

When R.O.S. is downloaded through Apple's App Store, these terms are between you and RO Software LLC, not Apple.

Apple is not responsible for the application or for providing maintenance or support services for it. RO Software LLC is responsible for addressing claims relating to R.O.S., including applicable product-liability, legal, regulatory, consumer-protection, or intellectual-property claims.

Your license is limited to use on Apple-branded products that you own or control, as permitted by Apple's applicable usage rules.

Apple and its subsidiaries are third-party beneficiaries of the applicable App Store provisions and may enforce those provisions.

21. Legal Compliance

You represent that your use of R.O.S. is not prohibited by applicable law.

You agree to comply with applicable export, sanctions, privacy, employment, confidentiality, intellectual-property, and data-protection requirements.

22. Governing Law

These terms are governed by the laws of the State of New Jersey, without regard to conflict-of-law principles, except where applicable law requires otherwise.

23. Changes to These Terms

We may update these terms as R.O.S., applicable laws, service providers, or available features change.

The effective date at the top of this page will be updated when these terms change. Continued use after revised terms become effective constitutes acceptance where permitted by law.
